STANDARD OPERATING PROCEDURES (SOP’s)

(Revised)

Section A:

Pre-Admission Requirements

Eligible age group: Kids aged 3 months to 5 years can get admission in a daycare facility of the university, for school-kids up to 12 years

Process of Admission: Parents/guardians can fill out the admission form available at the RWU official website and deposit the admission fee of Rs.2000/ and the 1st-month fee of Rs.3000/ to the daycare Finance In-charge through a deposit slip.

Fee submission timelines: The 5th date of each month will be the last day for fee submission and after that, a surcharge of Rs.100/- per day will be admissible.

Kids Belongings at the time of admission: A bag with all necessary items pertaining to the child’s daily needs should be handed over to daycare staff. The list of items is mentioned as follows:

       i.          Home-prepared food for the child as per his dietary requirements.

     ii.          Fresh milk in a bottle or formula milk in a container with a clean feeding bottle.

    iii.          One spare suit with a small towel, bibs, set of socks (in winter).

    iv.          Baby diaper and wipes along with nappy lotion/powder if parents require.

      v.          Baby blanket/ wrapping sheet as per nature of the season.

    vi.          One toy of the baby’s interest.

  vii.          Vaccination details/ verified document or health care card.

 viii.          Details about kids’ allergies from food items or some environmental factors.

    ix.          Parents needs to have a session with the daycare in charge about their child’s habits, sleeping and eating routine. A schedule of timings which is in observance prior to get admission in day care must be mentioned.

      x.          Inform if there is any medical issues with the kid and also provide necessary medical prescription of any Government hospital.

 

Section B:

Policy for Daycare Attendants

A.     Personal Hygiene policy

All staff and employees of day care must observe the following important health and hygiene parameters

                           i.          Dress, shoes and body of staff must be neat and properly in position to perform the job.

                         ii.          Shoes must be taken off before entering to rooms and soft sole shoes should be available for indoor movement

                        iii.          Staff should wear disposable gloves during serving food to kids and also during change of diapers and removing of trash and used diapers from rooms.

                        iv.          There must be written instructions for staff to maintain and ensure cleanliness of the day care and also child care and these all must be at visible places in day care rooms.

                          v.          Staff must knew about the food items received for each child when and how to serve him.

                        vi.          Sleeping area must be separate from play and TV room and must be clean and fumigated regularly.

                      vii.          Staff must be trained for the handling of child to make him sleep and should not allow edibles in that area.

                     viii.          In case of any flue/cough/sneezing or viral infection daycare attendants must wear the mask all the time of their duty.

 

B.     Policy for duties and responsibilities

                           i.          All daycare attendants must make sure the attendance of kids while picking up and dropping time.

                         ii.          In case if attendance is missed then daycare attendants must inform the concerned mother first and if she has not responded then inform the daycare In-charge timely.

                        iii.          The child should not be handed over to any other person who is not among the daycare attendant/guardian.

                        iv.          No irrelevant person is allowed to come inside the daycare vicinity.

                          v.          All daycare attendants must follow every instruction of the Mother of the month without any arguments.

                        vi.          Use of mobile for personal cause should be less during the duty hours.

                      vii.          In case of any emergency with the kid, it is duty of all attendants to inform the concerned mother immediately and also report to Mother of the month/In-charge for timely response.

                     viii.          If any kid got any sort of injury whether it is minor or major (non-emergency case) or any health issues, daycare attendants must inform the concerned mother at the time of pick up.

                        ix.          Daycare attendants must take prior permission from the concerned mother while giving any medicine/syrup.

                          x.          Staff/ attendants must handed over the kid to the mothers in clean diaper and neat face at pick up time.

                        xi.          It is duty of all daycare attendants to make sure that all daily belongings of the kid has been handed over to the mother at pick up time.

                      xii.          All attendants are responsible for the checking and maintenance of the toys of their allotted rooms.

Section C:

Policy for Daycare Mothers

       i.          It is the responsibility of every mother to mark the Sign in and Sign out attendance of their kid on daily basis. If the mother is not available then the person (father/guardian/any official attendant/driver) who is dropping or picking up the kid must do signatures/initials with name on the attendance page.

     ii.          The kid should be handed over to daycare staff in a clean diaper on arrival time. In case, if diaper is full then the mother should change the diaper in the daycare and then handed over the kid to the staff.

    iii.          The instructions of the removal of kid shoes inside the room must be strictly followed.

    iv.          The cooked lunch must be given for the kid and no use of stove in case of boiling egg, noodles, etc. will be instructed to any daycare staff.

      v.          In case of late pickup time, the mother must inform the daycare In-charge at least one day before or in case of emergency, 3 hours before the routine pick up time through official email.

    vi.          The signed monthly fees deposit slip must be received by the mothers after submission of the fees to avoid any inconvenience later on. In case of not receiving the deposit slips and there comes any issue in fees submission, then the fees will be paid again by the mother.

  vii.          The updated list of Mother of the month will be shared by the daycare In-charge after every round. Only the permanent faculty/staff with Grade 17 or above and IPFP with tenure of at least one year is eligible for the Mother of the month.

 viii.          If any mother wants to shuffle their duty of the month then she should inform the registrar office timely for approval.

    ix.          All mothers must response vigilantly in the daycare whatsapp official group for smooth conduction of tasks and duties.

      x.          It is responsibility of the Mother of the month to check the grocery of the daycare with previous month list and make sure that only those items should buy that are completed used or not enough for the whole month while considering the finance of the daycare.

 

Section D:

General Policy for Daycare

       i.          Available Equipment and facilitation

All equipment required for child care must be available in day care including fridge, microwave, heater, air conditioner, Disposable gloves, plates, glasses, sanitary baskets, fumigation sprays, kitchen tissues, towels.

     ii.          Work Schedule/Shifts of staff

All staff of day care center will work for eight and half hours duty shift and more no of kids got admission a second shift can be planned but no staff member of first shift will work for it. In case of any co or extracurricular activity, daycare staff is bound to come on the mentioned date and time depending on the need of daycare facility.

    iii.          Security Precautions

Availability of necessary security precautions Including CCTV Cameras, Fire alarms, room temperature recorders must be ensured.

    iv.          Staff training

Staff needs to have proper training about day care matters and security of kids, handling of child mood swings, eating and sleeping matters and cleanliness of eating area after every meal serving.

     v.          Medical Checkup of kids

A weekly and monthly check up of kids is must requirement of day care and incase of any emergency a trained child health care provider must be available within the premises of day care center.

    vi.          Availability of First Aid Box

A fully functional first aid box needs to available and must be placed at a place accessible to everyone.

  vii.          Intimation about Child Illness

Staff should keep noticing each child’s health, and inform about any noticeable health change in child to in charge day care and day care in charge will call parents and also health care provider immediately.

 

viii.          Child care Motivational Quotes

Motivational and health care quotes must be placed on walls of rooms and corridors for the awareness and motivation of staff and parents
